Sales reporting tracks how much each vendor sells at your events, broken down
by currency — cash, card, or a voucher program like SNAP or Market Bucks. Turn
it on for an event, choose which currencies count, and use it to charge
vendors fees or reimburse them for what they report.
Turn on sales reporting
Open Event Configuration → Events in the left-hand navigation menu, find
the event, and click the overview arrow on the right of its row.

Select the Sales Reporting tab, then click Enable sales reporting.

Turn on Enable sales reporting at the top of the page that opens — the rest of the settings appear once it's on.
Three settings are already on:
- Notify vendors at the end of each event - keep this on if you want Marketspread to email vendors after each market day with a link to report their sales.
- Allow vendors to report their own sales at the end of each event - keep this on if you want vendors to submit their own sales reports.
- Automatically release invoices when sales are initially reported? - keep this on to send a vendor's invoice as soon as their sales are reported.

Track the number of transactions
To have Marketspread count how many transactions happen during each event, turn on Track amount of transactions occurred for each sales event?
Choose how vendors are charged
Open the Charge mode dropdown and choose how vendors pay:
- Percentage - vendors are charged a percentage of what they report.
- Sliding scale - vendors are charged a flat fee based on the range their sales fall into.
- Not configured - vendors aren't charged anything for reported sales.
With Percentage selected, fill in:
- Charge rate - the percentage of a vendor's chargeable sales they're charged as a fee.
- Charge min - the smallest fee a vendor can be charged.
- Charge max - the largest fee a vendor can be charged.
- Min threshold - sales below this amount aren't charged at all. Once a vendor's sales reach it, the fee is worked out on their full reported sales, not just the amount over the threshold.
- Tax deduction - a percentage taken off reported sales, to back out sales tax, before the fee is calculated.

With Sliding scale selected, click + Add sales range and enter a Sales min, Sales max, and Fee for each range. A vendor is charged the fee for the range their reported sales fall into. Leave Sales max blank on the top range to cover everything above it. Click + Add sales range again for more ranges.

Note
Turn off Automatically release invoices when sales are initially reported? if you want to review or change invoices before vendors are notified.
Set Invoices due after to the number of days after the event that invoices are due.

To leave specific vendors or vendor types out of sales reporting, check them off in the Excluded vendors from sales reporting and Excluded vendor types from sales reporting lists.

Choose which currencies to include
Scroll down to select which currencies you want included.

For each currency, you can choose one of the following options:
- Do not use - This currency will not be shown to vendors when they are asked to report their sales.
- Chargeable - This currency counts toward the vendor's fee.
- Reimbursable - Used for items such as Market Bucks, where the market reimburses the vendor for the reported amount.
- Chargeable + Reimbursable - This currency counts toward the vendor's fee, and the reported amount is also reimbursed by the market.
- Report Only - This currency is recorded for reporting purposes only. No fees or reimbursements are calculated.

Click the Save sales reporting button at the bottom of the page when you are finished.
Edit or add a currency
To edit or add currencies specific to your market or region, go to Settings → Customizations in the left-hand navigation menu and scroll to the Currencies section.

Edit a currency
Click the currency in the field to rename it, add a description, or link to an external URL.

Add a new currency
Click + Add currency, then enter a name and optionally a description or external URL. To edit or remove a custom currency later, click it in the field the same way.

The new currency now appears in the Customizations page's own Currencies list.

It also appears in the event's Sales Reporting tab. Open Event Configuration → Events, click the overview arrow for the event, and select the Sales Reporting tab. Sales reporting is already on for this event, so the tab opens read-only — click the pencil icon next to it to make changes.

Open the Action dropdown next to the new currency and choose how it should be used — for example, Chargeable, to include it when calculating vendor fees — then click Save sales reporting.

Report vendor sales
At the end of each event, vendors automatically receive an email reminder with a link to enter their daily sales in Marketspread.
If you need to enter sales on a vendor's behalf, go to Event Days from the left-hand navigation menu. Then scroll to the event date you need to report sales for. The event day status must be "Ended". Click the overview arrow to open the event day.

On the event day details page, select the Vendors tab from the top menu.
Then find the vendor you want to report sales for. In this example, we will report sales for Bramblewood Farm.
Note
The vendor must be marked as Attended in order to track sales. If they are not marked as attended, use the status dropdown in the Attendance field to update their status.
When you are ready to report sales, click the blue plus icon in the Sales section for that vendor.

On the Checkout page that appears, enter the vendor's sales information for each currency. Be sure to enter 0 in any fields that do not apply. You can also add a note for reference and attach images or documents.

When you are finished, click the button in the bottom-right corner. It reads Create Draft Invoice when the reported sales will charge or reimburse the vendor, or Report when they won't.
After the sales have been reported, return to the Vendors tab to confirm that sales were recorded for the vendor. If needed, you can update the reported sales by clicking the pencil icon next to the sales figure.

To view the vendor sales totals for that day, click the Details tab from the top menu.

To create advanced sales currency reports you can export to a spreadsheet, see Market Reports: Vendor Sales + Sales Currencies.
